Overview
Automated Workflows let you define a sequence of AI prompt steps that run against a case and combine their outputs into custom documents or report sections. Workflows can be triggered manually or set to run automatically.
Note:
Workflows can be created and managed by admin and staff users.
Accessing Workflows
Workflows are accessible in two places:
Globally — Click your initials in the top-right corner of the screen to open the navigation menu. Select Automated Workflows from the menu to manage workflow definitions.
Per case — open the case and click the Workflows tab to run workflows against that case and view results.
How workflows work
A workflow is made up of one or more steps. Each step runs an AI prompt against the case content and produces an output. Steps run in sequence. Once all steps complete, their outputs are combined into one or more custom documents or reports in the case.

Creating a workflow
Open Automated Workflows from the top-right navigation menu.
Click Create workflow and choose a type (instant — triggered manually, automated — run automatically).
Enter a name for the workflow, select a step and enter a prompt from selected or create a new one using a natural language instruction such as: Summarise all medical episodes, or List dates that appear inconsistent across documents.
Set the coverage: enter a percentage (1-100) to indicate refine document pages coverage.
Enable validation response if response needs to be validated by AI assistance.
Add further steps as needed.
Configure output: single merged report or separate document per step.
For a separate document — enter a name, select document collection and optionally label the step output — used as a heading in the combined output document.
For a single merged report — enter a name and watermark if needed.
Add email to whom the output sends if needed.
Click Create.
Running a workflow
Workflows can be triggered in two ways:
Manual — open the case Workflows tab, find the workflow and click Run. Results appear in the Files tab under the AI Documents collection once complete.
Automatic — configure a trigger in the workflow settings: a case status change, a new document batch upload, or a recurring schedule (daily or weekly).

Workflow outputs
Each run produces one or more custom AI documents with back-references to source pages. These can be edited, renamed or deleted like any other custom document, and can be added directly to a report. Previous run outputs are not overwritten — each run is timestamped.
