Overview
The Author Registry is a shared database of all the authors referenced in episodes across all cases in your company account. When an episode is created and an author name is entered, it is saved to the registry and becomes available for selection in future episodes — ensuring consistent naming and enabling account-wide filtering by author.
Accessing the Author Registry
Click your initials in the top-right corner of the screen to open the navigation menu. Select Author Registry from the menu.

What the registry shows
The Author Registry lists every author name that has been used in an episode across any case in your account. For each author the registry shows:
The author's name as entered in the episode form.
The number of cases and episodes they appear in.
The date they were first added to the registry.
Note: Author names are added to the registry automatically when an episode is saved with that author. They cannot be added manually — the registry is built entirely from episode data.
How authors are used in episodes
When creating an episode on a document page, the Author field accepts a name. As you type, the field suggests matching names from the Author Registry, helping you select a consistent name rather than creating variations (e.g. Dr Smith vs Dr. Smith vs Smith).

Filtering by author
Author names from the registry are used as filter options throughout the portal:
In the Files tab — filter pages by episode author.
In the Workspace tab — filter workspace pages by episode author.
In the Chronology tab — filter the calendar, timeline and episodes list by author.
In the Search tab — narrow search results to episodes by a specific author.
This makes it straightforward to review all content attributed to a particular medical professional, solicitor or other author across the entire case.
Managing author names
If an author name has been entered inconsistently across episodes — for example, the same person recorded under slightly different spellings — you can edit the author name in the Author Registry to standardise it. The change is applied across all episodes that reference that author.
Note: Only admin users can edit or merge author names in the registry.
