Overview
Document collections define how documents are grouped and processed within a case. Every document uploaded to a case is assigned to a collection. Collections are created at the account level by admins and reused across all cases.
Note: Only users with the Admin role can create and manage document collections.
Accessing Document Collections
Click your initials in the top-right corner of the screen to open the navigation menu. Select Document Collections from the menu.
Processing modes
When creating a collection, you choose one of two processing modes:
OCR and process — documents are scanned using optical character recognition, split into individual page images and made fully searchable. Required for page-level work: annotations, episodes, chronology, AI features.
Storage only — documents are stored as uploaded without OCR or page splitting. Use for reference files that do not need page-level analysis.
Note: The processing mode is set at collection level and cannot be changed after documents have been uploaded to it.
Sharing settings
Internal — documents are only visible to your team.
Shared with client — documents are visible to clients who have been given access to the case.
Creating a collection

Open Document Collections from the top-right navigation menu.
Click Create collection.
Enter a descriptive name (e.g. Medical Records, Correspondence, Financial Documents).
Select the processing mode: OCR (when enabled, document pages are processed and page-level management is available) or Storage only (when the OCR button is turned off).
Set the permission: Client upload (if not, the case will be available for internal use only).
Optionally add a description and click Save.

Managing collections
To edit a collection's name, description or sharing setting, open it and click Edit. The processing mode cannot be changed once documents have been uploaded. Collections with no documents can be deleted; those in active use cannot.
